Overview of Opportunity Grants Responsibilities¶

Responsibilities¶
- Develop timeline for Opportunity Grants process; coordinate with Program team
- Create and edit Opportunity Grants application
- Review Opportunity Grants applications
- Recruit others to review Opportunity Grants applications
- Allocate Opportunity Grants
- Make sure Opportunity Grants registration codes are created (ask ticket chair)
- Coordinate notification timeline with program team
- Send accept/decline notifications about Opportunity Grant awards
- Collect receipts from recipients for reimbursement
- Work with treasurer to ensure that Opportunity Grants reimbursements are sent
Grant policy¶
What Opportunity Grants cover¶
Opportunity Grants are intended to help with the costs of attending DjangoCon US. Grants are awarded as a dollar amount to help with:
- Travel to and from the conference
- Lodging / accommodation (only for the night before talks begin through the night after talks with a per-day cap based on the group rate at the main venue)
- In-city transportation during the conference
Unclaimed or surplus funds¶
There is no fixed rule for handling unclaimed or leftover grant money (for example, when awarded funds go unclaimed or a recipient's documented expenses exceed their initial award). The Opportunity Grants chair and the treasurer decide how to handle any surplus on a case-by-case basis each year.
Notes¶
For the past several years, we've collected Opportunity Grant applications in a Google form. We then export the spreadsheet to Grorg for scoring.
To use Grorg, contact the automation channel on Slack. One of them will set up the new year's Opportunity Grants review system and give you a code. Log in or register with Grorg, then use the code to join this year's group. Upload the responses and get scoring.
We do not use Grorg to allocate Opportunity Grants; we use a separate spreadsheet for that.
